The company is recognized for its integrity, professionalism, and commitment to helping clients succeed through personalized and compliant solutions.As the Office Manager, you will be the cornerstone of our Sydney operations ensuring the smooth coordination of administrative processes, financial procedures, client communications, and staff support. This role is pivotal in maintaining office efficiency, supporting counsellors and consultants, and upholding CECA’s reputation for delivering exceptional service and operational excellence.

Key Responsibilities

  1. Oversee and manage daily administrative operations of the Sydney office, ensuring efficient workflow and compliance with internal standards.
  2. Coordinate communication between counsellors, migration consultants, clients, and head office management
  3. Manage incoming enquiries via phone, email, and in-person visits with professionalism and accuracy
  4. Maintain and update student records, client files, and visa application documentation in line with company protocols
  5. Support financial administration tasks such as invoicing, payment tracking, and expense management.
  6. Assist with HR-related duties including onboarding new staff, maintaining attendance records, and processing leave requests.
  7. Prepare internal reports, correspondence, and documentation for management review.
  8. Manage office supplies, stationery, and operational resources to ensure uninterrupted service delivery.
  9. Schedule and coordinate meetings, training sessions, and client appointments.
  10. Uphold a client-focused culture by ensuring every interaction reflects CECA’s professionalism and care.

What We Are Looking For

  1. Minimum 1 year of experience as an Office Manager, Administrative Coordinator, or in a similar administrative role.
  2. Prior experience in education, migration, or consultancy environments will be highly regarded.
  3. Excellent organizational and time management skills with the ability to handle multiple priorities.
  4. Strong verbal and written communication skills, with a focus on client service and accuracy.
  5. Proficiency in Microsoft Office Suite, email systems, and CRM or student management software.
  6. Basic understanding of financial processes including invoicing, expense tracking, and reconciliation.
  7. High attention to detail with the ability to maintain confidentiality and compliance.
  8. Positive, proactive, and adaptable attitude with the ability to work independently or in a team setting.
