Practice Manager - Full Time/Permanent

Dentasmile is a modern, community-focused dental clinic providing comprehensive family and cosmetic dentistry in a welcoming, patient-first setting. Our team blends gentle chairside care with efficient, technology-enabled front-of-house systems, so patients enjoy smooth visits from booking to follow-up. We’re growing and looking for a capable Practice Manager to lead daily operations and elevate our patient experience.

Key Responsibilities

  1. Plan, direct, and coordinate the day-to-day operations of the dental practice to ensure efficient and effective service delivery.
  2. Develop, implement, and monitor administrative systems, policies, and procedures to support clinical and reception functions.
  3. Ensure compliance with healthcare regulations, privacy legislation, infection control standards, and workplace health and safety requirements.
  4. Manage patient records, appointment scheduling, billing, and claims processing to maintain accuracy and confidentiality.
  5. Recruit, train, roster, and supervise staff; oversee performance management and professional development.
  6. Prepare and manage budgets, monitor financial performance, and implement cost-control measures.
  7. Oversee accounts receivable/payable, payroll processing, and end-of-day financial reconciliation.
  8. Maintain supplier relationships, manage procurement, and ensure availability and maintenance of equipment and supplies.
  9. Monitor key performance indicators (KPIs) and prepare operational and financial reports for management.
  10. Address patient enquiries, feedback, and complaints, ensuring high standards of service and patient satisfaction.
  11. Coordinate marketing, patient recall systems, and community engagement activities to grow the patient base.

Qualifications & Requirements

  1. Diploma-level qualification (or higher) in practice management, health administration, or a related field — or equivalent work experience.
  2. Minimum 1 year of experience managing a dental or other health practice.
  3. Strong understanding of healthcare compliance, privacy regulations, and infection control standards.
  4. Confident using dental practice management software and digital workflows.
  5. Financial literacy, including budgeting, purchasing, and KPI tracking.
  6. Excellent leadership, communication, and organisational skills.
  7. Full work rights in Australia and ability to work onsite in VIC 3105.
