Project Administrator


About us:

Talis Consultants is a multi-disciplinary consultancy based in WA, Victoria, and NSW. We provide specialist consultancy services in Engineering, Environmental Services, Waste Management, Spatial Intelligence and Asset Management.

We are seeking a Project Administrator to join our Support Services Team on a full-time basis. This position will be based in our WA office in Leederville, Perth.

The position duties include, but are not limited to:

  1. Provision of input into preparation of project documents and quote\tender submissions,
  2. Reviewingand negotiating client and project contracts to ensure compliance and mitigate risks,
  3. Administering projects from initiation to completion, including billing, reconciliations, and reporting to ensure seamless workflow,
  4. Addressing inquiries and resolving issues related to projects with professionalism and efficiency,
  5. Participate in cost control activities across multiple projects to assist project managers to complete projects within budget,
  6. Assist project managers with calculating charge-out rates and compiling project costing spreadsheets,
  7. Review and assist project managers with documentation for project variations,
  8. Conducting data collection and analysis for projects being undertaken, and reporting on project outcomes,
  9. Collaborating with Project Managers, Engineering staff and clients to ensure project goals are achieved,
  10. Analysis of and reporting on financial outcomes of multiple projects to the operational director,
  11. Organising project mobilisation and associated logistics, including transportation and accommodation arrangements,
  12. Serving as the primary point of contact for staff and contractors, offering necessary support and information to facilitate efficient project operations,
  13. Undertaking both structured and ad-hoc Quality Assurance tasks and internal audits to ensure project level quality objectives are achieved,
  14. Contributing to overall project compliance with company management systems, including Quality, Work, Health, and Safety protocols,
  15. Inputting and maintaining project data into relevant systems, databases, and spreadsheets, and any other relevant company documentation,
  16. Weekly review and reporting on time sheets for project teams, to assist the project manager Executing all reasonable instructions received from leadership group, as well as reporting back any relevant project progress and information.

Position requirements:

  1. A bachelor’s degree or higher qualification in a related area
  2. Postgraduate studies in financial accounting
  3. Experience with Project Management and Accounting Software
  4. AQF Diploma or higher in Project Management
  5. A minimum of 2 years working in a professional environment
  6. Previous experience working in project administration (ideally in an Engineering consultancy firm)
  7. Excellent organisational and time management skills
  8. Advanced skills and experience using the Microsoft suite of products (Word, Excel,
  9. Outlook, etc)
  10. Excellent communication skills, both written and spoken
  11. Exceptional problem-solving and negotiation skills
  12. Strong understanding in the application of ISO 9001 standards
  13. Demonstrated adaptability and resilience in fast-paced, dynamic work environments
  14. Positive attitude, strong work mentality with flexibility and willingness to learn

Remuneration:

  1. Salary range for this role will be between $80k and $90k
