Position Summary:

The Office Manager oversees the day-to-day administrative operations of the office to ensure efficiency, productivity, and a positive work environment. The role includes coordinating office activities, managing administrative staff, maintaining office systems and records, supporting financial and HR functions, and contributing to continuous improvement of office service standards.

Minimum Requirements:

AQF Diploma or higher qualification and minimum 1 year of relevant experience.

Key Responsibilities:

1. Office Administration

  1. Manage and coordinate daily office operations, supplies, and equipment to support business continuity.
  2. Maintain accurate electronic and physical filing systems and ensure confidentiality of business records.
  3. Oversee office maintenance, repairs, vendors, and service contracts to ensure smooth service delivery.
  4. Handle incoming and outgoing correspondence, mail, and deliveries.
  5. Allocate workspace and equipment based on operational needs.

2. Financial & Budget Support

  1. Assist with budgeting, expense tracking, and financial reporting.
  2. Process invoices, purchase orders, and reimbursements.
  3. Liaise with accounting to ensure timely payments and accurate record keeping.

3. HR & Staff Support

  1. Support recruitment, onboarding, and training processes for new employees.
  2. Maintain employee records and coordinate staff schedules, leave requests, and timesheets.
  3. Assign and monitor administrative staff work performance; promote a positive workplace culture.

4. Executive & Management Support

  1. Provide administrative support to senior management (calendar management, travel arrangements, meeting coordination, etc.).
  2. Prepare reports, presentations, and correspondence as required.
  3. Organize company meetings, events, and conferences.

5. Compliance & Policy Management

  1. Ensure compliance with company policies, health and safety regulations, and relevant legislation.
  2. Develop and update office policies and procedures.

Skills & Qualities Required:

  1. Strong organizational and administrative management skills.
  2. Ability to coordinate multi-disciplinary tasks and manage competing priorities.
  3. Competence in financial administration and office budgeting.
  4. Sound understanding of HR processes and staff coordination.
  5. Proficiency with office software and record-keeping systems.
  6. Strong communication skills for stakeholder, team, and supplier coordination.
