Salary: $78,000 plus 12% Superannuation

Our client, ZICOM Pty Ltd (trading as Solar Forever Canberra) is a specialist renewable-energy installer operating across Canberra and surrounding regions. With a strong focus on sustainability and energy independence, the business has successfully completed over 500 solar PV, battery storage and solar hot-water installations for both residential and commercial customers.

As the company continues to expand its project pipeline and workforce planning, we are seeking a proactive and organised Office Manager to keep the administrative and operational core running smoothly. This is a hands-on role that will sit at the centre of the business—supporting the Director, coordinating with field crews, managing office systems and ensuring compliance with regulatory and workplace health & safety requirements.

The Office Manager will be responsible for daily office operations, financial administration, HR and payroll coordination, supplier and stock management, customer communications and reporting. You will streamline and improve office processes, maintain clear records for projects and assist in workforce planning and onboarding.

Key Responsibilities:

·Manage day-to-day office operations and administrative systems to support project delivery.

·Oversee accounts payable and receivable, prepare invoices, process supplier payments and reconcile bank transactions.

·Coordinate payroll and entitlements in line with legislation and company policy.

·Maintain accurate project documentation, job files and commissioning paperwork for residential and commercial installs.

·Act as first point of contact for customer enquiries, warranty requests and post-installation support.

·Manage supplier and subcontractor relationships, obtain quotes and maintain purchasing records and stock levels (panels, inverters, batteries, sundries).

·Coordinate vehicle and asset maintenance, tools register and site equipment bookings.

·Ensure office and field compliance with WHS requirements; help maintain Safe Work Method Statements, incident registers and site induction records.

·Administer CRM/job management software, schedule installs and liaise with project coordinators to ensure timely delivery.

·Prepare regular management reports (project status, cashflow, debtor days, KPI tracking) and ad-hoc reports for the Director.

·Implement and improve office processes, filing systems and digital record-keeping to increase efficiency.

·Support marketing and customer outreach activities (booking follow-ups, review requests, basic social media scheduling).

·Maintain confidentiality of commercial and personnel records and act professionally in all client and stakeholder interactions.

Qualifications & Experience:

·Diploma or higher qualification in Business Administration, Management, or a related field. (or equivalent demonstrable experience).

·Minimum one year experience in an office manager / senior administrative role

·Practical experience with accounting/finance software (Xero, MYOB or similar), MS Office (Excel, Outlook) and CRM/job management systems.

·Knowledge of basic WHS requirements and administrative practices for field-based teams.
