Our client, Squared Joinery Pty Ltd is a bespoke joinery designer, supplier and installer servicing NSW. The company delivers custom kitchen, bathroom, wardrobe, living and laundry solutions for residential, commercial, retail and education projects. The company utilizes German/Italian production equipment to ensure premium quality.
To support continued growth, the recruitment is for a highly organized and motivated Office Manager to keep design, production and installation activities running smoothly.
As the Office Manager, you will oversee office systems and admin operations, coordinate project documentation and shop-drawing workflows, support production scheduling and site logistics, manage compliance, and help maintain outstanding service to our clients and partners (builders, architects and developers).
Key responsibilities· Plan and review office services; set priorities and maintain service standards across a busy design–manufacture–install environment.
·Allocate and manage office resources, space, IT and equipment to support day-to-day factory and site operations.
·Maintain project records, shop drawings, quotes, purchase orders, delivery dockets and accounts.
·Coordinate with suppliers (e.g., laminates, solid wood, stone, hardware) and logistics for on-time deliveries.
·Liaise with clients, architects and the in-house architect/drafting team on approvals and variations.
·Support production scheduling and installation calendars across NSW projects.
·Monitor office facilities, equipment and inventory; raise and resolve maintenance issues.
·Ensure compliance with WHS, company policies and site induction requirements.
·Oversee HR admin: recruitment support, onboarding, inductions, training coordination and timesheets/payroll inputs.
·Implement performance reviews, document control and continuous-improvement initiatives.
·Analyse workflow and recommend improvements to administrative procedures and project handover processes.
·Assist with budgeting, cost control and management reporting; prepare ad-hoc reports for senior management.
Qualifications & experience· Diploma or higher in Business Administration/Management (or related field).
·Minimum 1 year in an Office Manager or senior administrative role (manufacturing, construction or joinery environment highly regarded).
·Working knowledge of office management systems; familiarity with ERP/CRM and accounting software.
Skills & attributes· Excellent communication and stakeholder management skills.
·Strong attention to detail and document accuracy (quotes, drawings, PO’s, invoices).
·Ability to multi-task and meet deadlines in a fast-paced production setting.
·Proven leadership, team supervision and problem-solving capabilities.
·Solid understanding of WHS and compliance standards.
· Proactive, professional and able to work independently.
