CD Dodd are a well-established and rapidly growing provider of scrap metal recycling in Western Australia with over 50 years of experience. Our business plays a vital role in sustainable resource recovery and responsible metal recycling across the state. We operate a high-volume weighbridge and container-based logistics network supporting multiple yards and transport operations.
An opportunity now exists for a highly experienced Office Manager with extensive scrap industry and material grading knowledge to lead and coordinate the administrative and operational functions of our weighbridge and yard office.
The Role
This is a senior operational office management position requiring strong leadership, advanced industry knowledge, and hands-on coordination of scrap purchasing, logistics and compliance systems. The successful candidate will supervise office staff, manage all administrative and commercial documentation, and ensure regulatory and financial accuracy across daily operations.
This role is critical to the efficient functioning of our scrap yards, transport logistics, and commercial relationships. Only candidates with substantial direct experience in weighbridge and scrap metal operations will be considered, as this demanding role is not suitable for those without a strong background in the field.
Key Responsibilities
Office & Administrative Management
- Oversee and coordinate the daily operations of the weighbridge office to ensure efficient, compliant workflow.
- Develop, implement and maintain administrative systems for docket processing, container coordination and scheduling, job bookings, contract administration and record management.
- Ensure office practices comply with industry regulations, company policies, and workplace health and safety requirements.
- Maintain accurate operational, financial and compliance records across all internal systems.
Staff Leadership & Coordination
- Supervise weighbridge and administrative staff, including task allocation, performance oversight and roster management.
- Provide training, guidance and technical problem-solving support to office personnel.
- Foster a professional and high-performing work environment, ensuring excellent customer service and effective communication between office, yard and transport teams.
Financial & Contract Administration
- Approve and verify daily purchase, sales and contract dockets with strong understanding of scrap material grading, pricing structures and trade variations.
- Ensure accurate data entry into the Scrap Management System.
- Manage supplier contracts, pricing structures, customer accounts and purchase order approvals.
- Prepare and process sales invoices, contract documentation and operational reporting.
- Work closely with Accounts on reconciliations, compliance reporting and financial system accuracy.
Logistics, Scheduling & Operational Coordination
- Coordinate complex logistics for scrap metal shipments. Manage end-to-end container administration including contracts, scheduling, transport coordination and regulatory documentation (including VGM submissions).
- Oversee job bookings for major commercial clients, ensuring correct pricing, service scope and timely completion.
- Monitor and close out pending operational tasks through daily coordination with drivers, suppliers and internal teams.
- Liaise with technical support to ensure reliable operation of the Scrap Management System.
Procurement & Resource Oversight
- Manage procurement of PPE, amenities and office supplies across multiple sites.
- Maintain supplier relationships and ensure timely distribution of resources to yards and personnel.
- Maintain registers for PPE, office assets and compliance documentation.
Safety, Compliance & Stakeholder Liaison
- Support incident reporting and safety compliance within the weighbridge office.
- Act as the primary liaison between the weighbridge office and key internal and external stakeholders. Collaborate closely with Yard Supervisors, Transport Providers, Sales teams, and Senior Management to facilitate smooth operational coordination . Communicate effectively with customers, drivers, and external logistics providers (including use of platforms like 1-Stop for port/shipping logistics) to manage bookings and resolve any issues. Ensure that service expectations are met and that all parties are kept informed of scheduling and operational plans.
- Coordinate weighbridge compliance requirements including licence renewals, audits and annual regulatory submissions.
- Ensure all documentation aligns with environmental, transport and workplace regulations relevant to the scrap industry.
Essential Skills & Experience
- Extensive experience as an Office Manager or Senior Administrator within the scrap metal, recycling or resource recovery industry.
- Extensive hands-on knowledge of scrap material grading, pricing structures and trade classifications.
- Proven experience supervising administrative teams in high-volume operational environments.
- Advanced experience in weighbridge operations, docketing systems and scrap management software.
- Strong understanding of contract administration, logistics coordination and compliance documentation.
- Hands-on experience with shipping and logistics coordination, including use of freight/port booking platforms such as 1-Stop for container scheduling and documentation. Thorough understanding of container freight operations, various truck/trailer combinations, and VGM compliance procedures for container weights
- Strong background in procurement and supplier management for operational supplies (e.g. PPE, equipment). Experience managing supplier contracts and purchasing across multiple sites, ensuring cost control and timely supply of resources .
- High-level financial accuracy with invoicing, reconciliations and reporting.
- Excellent communication, leadership and problem-solving abilities.
- Strong attention to detail, time management and organisational skills.
- Intermediate to advanced computer skills (office systems, databases, accounting and operations software).
