The Role
We are seeking an experienced and organised Office Manager to oversee the day-to-day administrative, student, staff, and operational functions of the college. This role plays a key part in ensuring smooth office operations, regulatory compliance, and high-quality support services for students and staff.
Key Responsibilities
Administrative & Office Management
- Oversee daily administrative operations and office workflows
- Manage filing systems, records, databases, and administrative processes
- Supervise administrative and support staff to ensure efficient operations
Student & Staff Coordination
- Coordinate student enrolments, admissions, records, and inquiries
- Support student orientation and administrative communication
- Manage staff rosters, attendance, meetings, and onboarding
Financial & Facilities Administration
- Process invoices, payments, student fees, and maintain financial records
- Assist with budgeting, expense tracking, and supplier coordination
- Oversee office supplies, facilities maintenance, WHS compliance, and services
Compliance & Reporting
- Ensure compliance with RTO, CRICOS, and regulatory requirements
- Maintain audit-ready records and support compliance reporting
- Prepare management reports, statistics, and operational documentation
Communication, IT & Events
- Manage correspondence, phone calls, emails, and general inquiries
- Coordinate college events, meetings, graduations, and visitor arrangements
- Oversee student management systems, IT coordination, and data security
Skills & Competencies
- Strong office and administrative management skills
- Knowledge of education sector operations (RTO/CRICOS preferred)
- Excellent organisational, communication, and leadership abilities
- Experience in student administration and compliance documentation
- Financial administration and record-keeping skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency in office software, databases, and student management systems
