Looking for more than just another job?

Would you like an opportunity to build a real career in a growing professional industry with opportunities for advancement, training, and professional development?

Panhandle Property Group, Inc. is looking for a motivated, organized, and energetic Administrative Assistant to join our growing team in the Fort Walton Beach area.

We provide professional Community Association Management (C.A.M.) services to condominium, homeowners, and townhome associations throughout the Florida Panhandle, from Pensacola to Panama City.

This isn't simply an administrative position. It's an opportunity to learn a specialized profession and develop skills that can lead to a long-term career.

No Community Association Management experience is required. We will train the right person, teach you the industry, and can even assist you in obtaining your Florida Community Association Manager license if you decide to take your career to the next level.

What You'll Do

You'll work alongside experienced Community Association Managers while helping coordinate the day-to-day operations of the communities we serve.

This is not a position where you'll sit behind a desk doing the same thing every day. The job combines office work, field work, client interaction, problem solving, project coordination, and professional development.

Responsibilities may include:

Conducting weekly site inspections at local communities

Responding to phone and email inquiries from homeowners, vendors, and board members

Coordinating communication among homeowners, vendors, board members, and management

Assisting managers with proposals, approvals, projects, and client requests

Scheduling meetings, appointments, inspections, and community events

Preparing reports, correspondence, meeting materials, and other documentation

Coordinating meeting rooms, presentations, agendas, and minutes

Working directly with clients and vendors to help keep projects moving

Reviewing documents for completeness and accuracy

Submitting documents for approval and processing

Attending professional trade lunches, educational events, and industry seminars

Assisting with other administrative and operational responsibilities as needed

Who We're Looking For

We're looking for someone who is dependable, professional, organized, personable, and eager to learn.

The ideal candidate enjoys working with people, can handle multiple priorities, communicates well, and isn't afraid to take initiative.

Qualifications

High school diploma or equivalent; some college preferred

Administrative or customer service experience preferred

Strong written and verbal communication skills

Excellent organizational and time-management skills

Ability to manage multiple tasks and deadlines

Professional demeanor when interacting with clients, vendors, and management

Proficiency with Microsoft Outlook, Word, and Excel

QuickBooks experience is a plus

Comfortable working both independently and as part of a team

Willingness to learn, accept responsibility, and grow professionally

Work Environment

This position includes a combination of office and field work and may involve:

Sitting, standing, and walking for extended periods

Driving locally to conduct community inspections and assist with projects

Occasional lifting of up to 20 pounds

Working in a professional office environment
